  1. Commodity & Agricultural Input Supplies Supervisor

About the Job

I. Job Summary  

The purpose of the Commodity and Agricultural Supplies Supervisor’s position is to monitor/inspect the warehouses, distribution centers and provide managerial and supportive supervision to the storekeepers and food distributers. S/he ensures that the food allocations (receipt and distribution) are managed in line with CARE and Donor agreed procedures and policies. S/he also monitors that the allocations received are as per agreements and monitors stock levels in accordance with agreed plans.

II. Responsibilities 

Job Responsibility #1 Staff Management (30%)

  • Supervise the activities of the food distributors and storekeepers based in the woredas FDPS and warehouses
  • Ensure staff APPAs include KPIs which are continuously monitored and measured against progress
  • Ensure that APAAs (annual and semi- annual) are completed in a timely manner and submitted to HR         

Job Responsibility #2:  Technical and Logistics Support (35%)

  • Supervise and coordinate daily activities of personnel engaged in the receipt, storage, and issuance of food, agricultural supplies and non-food items
  • Conduct distribution monitoring of Food for Work and humanitarian programs as required following CARE Ethiopia policies of procedures
  • Ensure that the commodity allocations received are per the authorized amount
  • Ensure that the commodity receipt, dispatch, handling and distribution are conducted as per the donor and CARE commodity management policies
  • Ensure that all storekeepers comply with the food, agricultural supplies and non-food inventory procedures
  • Supervise the distribution process to ensure it is handled as per the recommended distribution mechanism and track the distribution using the last mile mobile solution platform (LMMS) or other agreed software
  • Conduct scheduled and ad hoc warehouse visits
  • Analyze and determine minimum and maximum stock levels of food and non-food items considering the warehouse capacity at FDPs in consultation with the area administrator
  • Submit purchase requests and monitor progress to maintain adequate stock levels at all times

Job Responsibility #3:  Planning, Monitoring and Reporting (30%)

  • Ensure that sufficient food stocks are dispatched to the warehouses / FDPs
  • Maintain records of empty containers register and files
  • Reconcile commodity balance with the store records
  • Ensure that distribution/payments are carried out according to plan
  • Perform periodic physical inventories and provide reports to the commodity and logistics officer FO
  • Review weekly, monthly and quarterly commodity reports from storekeepers and compile by woreda and report to the commodity logistics officer (CLO) FO
  • Review daily, weekly, monthly and quarterly distribution reports from distributers and compile by woreda and report to the (CLO) FO

 Job Responsibility #4:  Other (5%)

  •     Perform other duties as assigned.

II. Qualifications 

  •   3 years of relevant experience with the first degree.
  •   2 years of relevant experience plus post graduate degree.

Required:

  • Leadership skill in managing team
  • Ability to spoken and written English
  • Good interpersonal communication skill
  • Basic skills in MS Word, MS Excel, MS Outlook

Preferred:

  •  Previous experience in similar NGOs
  • Ability to communicate in local language (Tigrigna)

2. Intern – Program Officer

About the Job

I Job Summary

The female-only internship program is a one-year program with the primary objectives of empowering young female graduates and impacting the organization’s gender parity that provides emerging female talents an opportunity to apply knowledge and enhance skills through mentoring and coaching, expanding their professional network, working on value-added projects, gaining hands-on experience, and getting acquainted with the oriental difference.

The program officer intern is required to assist in the implementation of uplift her project activities. Specifically, she is expected to support the program manager and the field technical teams to effectively implement the project and HER unit program implementation. UPLIFT HER is a seven-year project that will be implemented in the West and East Hararghe zones of Oromia and Afar regions of Ethiopia. The Project aims to improve the provision of comprehensive and inclusive gender and adolescent responsive primary SRHN services.

II. Responsibilities

  • Support the project staff in reviews meeting, reporting, manual preparation trainings and other project-initiated workshops
  • Prepare ToRs for project imitated trainings, meetings and provide event report after these events.
  • Work on documentation of projects lessons learned, best practices and filing
  • Liese the unit with finance, procurement, HR and admin on transaction that the unit will be engaged.
  • Support the field office project team in liaising to procurement, HR, finance, and program/admin support
  • Assist in the learning brief, technical brief, and project best practices preparation.
  • Assist in the collection of case stories and MSC, and write up
  • Engage in field visit, preparation visit report and keep clear records of travel documents.
  • Assist in documenting all program-related files on the organization’s shared file
  • Assist the project to track financial performance and budget expenditures variance in consultation with the sr. grant specialist and program manager
  • Provide technical and logistic assistance to unit staff and other counterparts as needed to lead the implementation of HER programs at the community level.
  • Participate in capacity building trainings, for the project staffs and government partners.
  • Facilitate and ensure availability inputs required for the implementation project led workshop, meetings and trainings.
  • Prepares minutes of regular project management team meetings and ensures regular follow-up on recommendations with project and other relevant staff.
  • Manages printing of necessary projects resources for the project and implementation team (field office and head office teams)
  • Follow the implementation of adolescent SRH and life skill manual development and implementation guide.
  • Technically support in scaling up of the lesson and learning on adolescent SRH, nutrition and economy and life skill intervention
  • Work with project staff to facilitate and ensure availability tools for project result and learning capturing.
  • Produce infographics on project performance quarterly

  • Assist in the learning brief, technical brief, and project best practices preparation.
  • Support program gender technical team in the integration of gender components in the implementation of the project’s planned activities
  • Assist to clear and complete gender program documentation of ULH project and other projects in the unit.
  • Support organizing Meetings/workshops and prepare reports/minutes.
  • Support conducting field visit to make sure that the gender elements are mainstreamed in the project implementation and government sector offices by maintain field visit reports and keep clear records of travel documents.
  • Support preparation and review of learning and technical briefs.
